Effective Business Communication That Gets Results!
Effective business communication is connecting with your customers to understand their needs. This is important whether you are face-to-face or on the phone with the customer.

1st Effective Business Communication QA (Qualify Action) Principles
1. Who-->Identify immediately who you wish to speak to if this is not obvious. This is important particularly in a large group of people or on the phone.
2. Who you are-->Provide your name and your organization. This helps others know who you are.
3. Why-->To have an effective business communication explain why you wish to speak with that person. The reason could be for something that person requested or it was based on a recommendation of someone that person trusts. An effective business communication focuses on that person for their reasons (not yours). You're not to sell that person something. You are talking with them based on something they requested or a recommendation of a trusted friend.
4. Confirm-->Find out if your understanding of the person's needs is still correct. You want to be on the same page as that person.
5. Ok-->Verify if they have a few minutes to talk.
6. Their Reasons-->Find out why that person could be interested in a business talk with you. Make sure to listen and take lots of notes. Allow 3-5 seconds after they talk before you say anything. Having an effective business communication means that you focus on understanding their needs. Talk to them like a trusted friend or consultant.
7. Money and Time-->If this is a business discussion ask them how much money they would invest in an opportunity up front and on a monthly basis. Ask them also how much time they would spend per week on an opportunity. The goal of this discussion is to understand the customer, not make a sale.
8. Action Step-->If the person is interested in more information give them a homework assignment. Have them do something where they will get information for their research. Maybe the person can visit a page on your web site and fill out a form.
9. 2nd Effective Business Communication Consultation-->Set up another business talk consultation or phone call to discuss any questions they may have. Also ask them to contact you if they can't make the consultation.
10. Thank You-->Thank them for their time and effort.
11. Email-->Send an email to confirm the conversation.
1st Effective Business Communication Sample Conversation
1. "May I speak with Sam" ?
2. "Hi Sam, my name is Jim (your first and last name) and I'm
calling from build-a-new-business.com" (your business or web site)(if the intended person of the call does not answer the phone mention to the person who answers the call that you're calling with the information that was requested)
3. "The reason I'm calling is to provide you the information you requested from the build-a-new-business web site. Your friend John also suggested that you might be interested in this information."
4. "Were you still interested in this information?"
5. "Do you have a few minutes to talk"
6. "Why would you like to build a new business?"
7. "If you found the perfect opportunity how much capital would
you invest up front and monthly to see your dreams come true?"
"How much time per week would you commit to make things happen?"
8. "Would you be interested in more information to help you in
your decision? Could you check out the web site www.build-a-new-business.com and review the pages and fill in the
forms with your comments and any questions you may have?"
9. "Let's set up another call this Friday at 8:00 PM to answer any questions you may have. Is this Friday good for you? Great, can you call me at 800-Callnow as soon as possible if you can't make the call or have any questions? I'll send you an email at Sam@SamEmail.com to confirm our discussion"
10. "I appreciate your time and look forward to our discussion
this Friday"
11. The email that is sent could look like the following:

Sam,
I appreciate the time you spent to business talk with me about your interest to build a new business. Thanks for your honesty about your search for business information.

Obviously this is a sample. The contact's answers may change the flow of the conversation or the questions. If the contact is not interested you won't want to pursue things. Maintain a solid relationship no matter what happens. You want a Win/Win for the contact and for you!
2nd Effective Business Communication CI (Consultation Interview) Principles
1. Who you are-->Mention your name.
2. Ok to talk-->Ask if this is still a good time to talk. If it is not a good time to talk ask if they would like to reschedule.
3. Reason-->Remind them of the reason for the call.
4. Ask and Listen-->Ask quality questions based on your last
conversation and any information they provide for you.
5. Respond-->Ask them if they have questions for you.
6. Work together?-->Determine if it is a good fit for the two of you to work together as part of a team. If not see if you have anything (product or service) that could benefit them.
7. Commitment-->If there is a good connection ask them if they are ready to commit with you to be part of a team.
8. Email-->Send an email to confirm the conversation.
2nd Effective Business Communication Sample Conversation
1. "Hi Sam, this is Jim from build a new business."
2. "We scheduled a call for about 30 minutes. Is this still a
good time to talk?"
3. "The reason for the call is for us to learn about each other. We want to see if it would be beneficial for us to build a new business relationship together. Does that sound fair?"
4. "From what you've seen can build a new business help you to
achieve your goals? May I ask why you feel that way? What's your past experience in building a new business? What would you like to see for your future?"
5. "What questions do you have for me?"
6. "Do you see us working together as part of a business team to build a new business? If not, is there anything I can do to help you to build a new business?"
7. "Are you ready to commit today to work as part of a team?"
